The meeting was called to order by President Melana Long. The 2017 minutes were previously approved via email by the officers. The approved minutes were distributed to all present as well as with the annual fundraising letter and a posting on Facebook. The minutes were accepted as is. The treasurer’s report was given by Treasurer Ronald Hicks. His report showed that revenues for 2018 barely exceeded expenses. Ron congratulated the President and Secretary of the Association for their personal visits to the businesses on the mailing list. Those visits were in lieu of letters for 2018 and netted a total of $300. A motion to accept the report as read was made by Donna Moreira and seconded by Bonnie Chasteen. Motion Carried President Melana Long gave a brief report on the purpose of the email transition team and what the Association hopes to achieve from their efforts. The secretary was asked to share the results which are as follows: USPS mailings 115 Emails 30 Total mailings 145 USPS returned undeliverable 10 Numbers donations received via USPS 14 5 new email addresses were received to add to our email contacts. The President reported that the Association made its first SPRING email fundraising effort in April. Responses were nil. A discussion ensued among the members present indicating a unanimous preference to receiving the annual letter in the spring as opposed to the fall of the year. The President indicated that one of our business donors also shared the spring preference. It was requested that if a Spring letter is mailed that it inform the recipients that an October mailing would not follow. Jane Hanback specifically asked that we indicate all donations accepted and appreciated. Donna Moreira moved that a spring letter replace the fall mailing, seconded by Melana Long. Motion Carried The report of the President to the Association following a personal visit to the majority of businesses on the Association mailing list was of a positive nature. It brought to light the willingness of these businesses to support the efforts of the Association and their desire to know more about what we do. During the discussion a member suggested we specifically contact Grant Financial Management, the local flower shops and Ziegenhorn. A letter of information has been constructed to be mailed to the area funeral homes, in particular. A motion to send the letter was made by Ron Hicks and seconded by Jane Hanback. Motion Carried With the website having been abandoned, the Carpenter Cemetery sign needs to be corrected so as to direct people to the Facebook page rather than a website. It was proposed that a sticker could be prepared to cover the website address and redirect readers to the Facebook page. Jane Hanback motioned that this be done. Lyda Chasteen seconded the motion. The President requested Ron Hicks be the member to carry out this need. Motion Carried Additional discussion continued regarding business sponsorship of Carpenter Cemetery. Ron Hicks suggested that we investigate how the Association might securely attach sponsored by signage to our roadside marker which would promote those businesses who partner with us. No motions at this time. Jane Hanback suggested we work on putting up new fencing. No motions at this time.
